This guide outlines everything you need to know about hiring and using Elford Village Hall. Whether you're booking a wedding reception, meeting, party, or community event, this document provides essential information on the venue’s facilities, equipment, health & safety, and booking process.

Please read this guide before your event to ensure a smooth and successful experience.

Before Your Event please make sure to download the Elford Village Hall hire documents ahead of your booking. They include everything you need to know to help your event run smoothly and to ensure your deposit is returned in full. Thank you for helping us keep the hall running safely and efficiently for everyone to enjoy!

Layout

Ground Floor

  • Entrance Foyer with stairs and lift access

  • Main Hall (127 capacity) with stage and access to kitchen/servery

  • Jubilee Room (30 capacity) – with direct terrace access, ideal for catering or meetings

  • Shakespeare Room (30 capacity) – suited for meetings, backstage use, or private hire

  • Fully fitted Kitchen and Servery/Bar

  • Toilets (incl. disabled facilities and a shower)

  • Studio/Meeting Room (20 capacity)

  • Office

Outside space

  • Landscaped gardens with gazebo

  • Large terrace area

  • On site parking (including 2 disabled parking bays)

Utilities

  • Heating: Included in hire price

  • Water: Hot and cold in kitchen and toilets

  • Fully air-conditioned for climate control

Guest Safety

Health & Safety

Your safety is a shared responsibility. The Hall Committee has taken all reasonable precautions, but hirers must ensure safe behaviour from all guests.

​

Key Reminders

  • Familiarise yourself with fire exits & procedures (posted inside)

  • No smoking or smoke machines (including in porch) as this will activate the fire alarm

  • Children must be supervised outdoors and in upstairs Studio

  • Take care in kitchen (hot surfaces/slippery floors)

  • Use correct lifting methods for tables/chairs

  • Keep behaviour appropriate – drunken or unsafe behaviour is prohibited

  • Log all accidents in the kitchen's Accident Book

Our Neighbours

Consideration for Neighbours

Please be respectful:

  • Keep doors/windows closed during music

  • End all events by the licensed time

  • Do not allow guests to park on Victoria Meadow opposite the Hall as this is a private residential area.

  • Minimise noise during arrival and departure (Please Note:  If complaints are received  from our neighbours, this may affect the return of your deposit)

Opening Procedure

​

  • Unbolt the front door before using the automatic opener

  • Set the door mechanism to the correct mode and return the key

  • Turn on fire exit lights (switch inside Main Hall)

​

Closing/Vacating Procedure

​

Before leaving, please:

  • Complete the Vacation Checklist (posted in the hall & booking pack)

  • Turn off all lights, taps, heaters

  • Close all doors/windows

  • Set the alarm

  • Lock the main door

  • Empty all bins
